Shakthi Hostel Rules

The Shakthi hostel is a state of the art infrastructure that makes each and every student’s stay, a memorable experience. It provides a safe and perfect ambience of a home away from home where students live together, learn together and care for one another.
Life at Shakthi hostels inspires students to varied and deeper levels of physical, intellectual and emotional growth. It is a judicious mixture of a restrictive and open, yet well protected environment to enable students to steer out of today’s complex social environment all around us.
All our spacious and tastefully- done rooms in the hostel offer you:

Educationists believe that success depends upon the life skills that we learn during our education in the school / college. Since, we are responsible for 24 x 7 hours/ days planning of students living in hostel, we are emphasizing on the strict follow up of daily routine that teaches the boarders, different life skills which contribute a lot to their success in life.

Admission Criteria
Rooms are allotted to the students on the basis of their age/class. Admission to the hostel is granted for full one academic session. Hostel fees are payable in advance for this duration. The mode of payment is decided by the Principal/Administrator. There will be no refund of hostel fees, except for the caution deposit. Caution deposit will be refunded only after the completion of their studies.
Rules and Regulations
General Regulations
The School/College hostel authorities have the right to search the child, and his/her belongings at the time of admission to the hostel, or on return from leave/vacations.
Boarders are not allowed to keep valuables, jewellery, and any other articles, which are not approved by the School/College authorities. Students are not permitted to keep any money or cash with them. No student is allowed to make any direct cash purchase from anywhere. All purchases are to be done through the procedure prescribed by the hostel administration Committee.
Parents / Guardians are not permitted to meet the boarders, without the permission of the Administrator / Principal. They are allowed to meet the students only on prescribed days. During School/College times, parents / guardians are not supposed to visit their wards.
All School/College hostel property must be handled with due care. Any damage to furniture, fittings, equipment, books etc. will be recovered from the Caution Deposit.
Eatables and gifts of any kind from outsiders are not permitted.
Electrical gadgets like heaters, kettles, irons or any such appliances like, mobiles, radios, TV, CD-players, i-pods, razors, blades, electric/electronic shaving machine or any other electronic, electric or computer devices not approved by the School/College are not allowed in the hostel.
Surprise check will be made by the competent authorities appointed by the management. Extra items, other than those permitted by the School/College will be confiscated.
Boarders shall not smoke or bring tobacco, alcohol or any unauthorised item into the hostel.
The Floor warden or any other competent authority appointed by the Management will take roll call at the times specified by the Administrator. This will be done preferably in the afternoon as well as in the evenings.
Boarders must remain, and study in their respective rooms or class rooms during study time as directed by the competent authority.
The lights – off time will be notified by the Warden.
Boarders may be allowed outings from the hostel for a specified period of time duration that is approved by the Principal/Vice Principal.
Gate passes may be issued to all the students availing the outing time. The detailed procedure for it will be approved by the Principal/Vice Principal.
Boarders are expected to behave well in public, and represent their School/College with dignity.
Boarders must return to the hostel at least five minutes earlier than the entry time.
Only those persons will be allowed to meet the students, whose complete particulars and photograph are submitted by the parents at the time of admission. No one except the guardian or parents can take the student with him/her. This can be done only with the written permission of the competent authority.
Parents must register the address and telephone number of the guardian with the hostel office.
Boarders must take part in all the educational activities arranged by the School/College or hostel, unless exempted by the competent authority.
Going out during the weekdays is totally discouraged. However, if there is any genuine reason, the hostel administration will try to assist.
On School/College days students are not allowed to remain in the hostel without genuine reasons however, in special cases a student may remain in the hostel if he/she has the written consent of the competent authority. This privilege could be revoked any time.

Study Room Expectations
During study hours, all the students must dedicate their time to academic preparation in the study room.
The door to the rooms remains open.
Silence is mandatory
Students must work independently, unless they are allowed for a group study session within full knowledge of house warden. Group study sessions will happen in common areas and not in individual rooms.
Students assigned to study room must bring all study materials to the designated location.
Students may not use this time to sleep or take showers.
Throughout the study period, the house warden will keep check on the students.
Students living in the hostel, interested in studying beyond the light-off time should do so in the study room, under the supervision of a supervisor, who is deputed for this purpose. This can be done with the written permission of the Administrator / Principal / Warden and an entry to this effect will be made in the Late Hour Study Register signed both, by the student and by the supervisor.
Laundry and Dry Cleaning
Laundry service is available on payment basis on the days notified by the management. bedspreads, bedsheet and other clothing’s will be washed, pressed and returned to the Boarders. In case of loss or damage, the Boarders must inform the laundry personnel immediately. The Complaint could also be entered in the complaint book provided in the hostel.
Discipline – Guidelines For Parents/guardians
Visitors are not permitted to go into the rooms of the hostels. Particularly, the female visitors are not permitted to visit into the Boys Hostel, and male visitors are not permitted to visit girls rooms, without the written permission of the Administrator.
Room furniture, electric fittings, etc. are required to be maintained by the inmates in good condition. At the time of allotment of room and leaving the hostel for the vacation, every student must make-over and hand-over, respectively, the hostel property carefully.
Ragging of any kind is severely punishable and may lead to expulsion from the institute. As such, students are advised not to indulge in any such activity.
Parents or any other relative should not give cash to their wards as students living in hostel are not allowed to keep cash with them.
Bullying is banned. No one is permitted to subject any other student to any kind of ill-treatment, either physical or mental. There is continuous effort to instil a high moral behaviour into the boarders. Should any child persist with any antisocial act, he/she will be liable to serious disciplinary action, including expulsion/withdrawal, as deemed fit by the Management.
Any child involved in any immoral act is liable to be expelled without warning, and there will be no reconsideration whatsoever. There will be no refund of fee in such cases. Furthermore, the Managing committee and the disciplinary committee may not assign any reason for doing so.
Students are not permitted to possess any sordid reading/viewing material.
No Student is permitted to buy, sell or exchange goods or lend or borrow money from each other or from the staff. Nor are they allowed to do so with any outsider especially when they go on outings from the School/College.
Parents desiring to send any item to their ward should address it to the School/College office. Nothing should be delivered to the boarder directly.
Parents are advised to meet their wards on Fourth Saturdays of the month. In case if the ward has a sibling studying in school the parents can meet their children’s either on Second or Fourth Saturday with prior permission from the college Principal. In case of emergency, the parents or guardian may be allowed to meet with the prior written permission of the Principal / Administrator. Parents visits on other days will not be allowed.
The change of status from boarder to Day Boarder / Day Scholar or vice- versa will not be entertained in the mid-session.
Heat producing electrical devices such as heater, electric blankets and halogen lamps are prohibited. The Residential staff will confiscate any devices not in compliance with fire and safety codes and regulations. The candles and incense sticks are prohibited.
Water conservations should be followed strictly. Taps in bathroom/toilets must be closed, whenever they are not in use.
Fans and lights must be switched off whenever the students leave their 6 rooms. They must switch off all lights, when they go to bed. In case it is noticed that the fans / lights are on in the room, a penalty will be imposed for wasting the precious energy.
Study table, wet clothes and the bed must be neatly arranged before leaving the room. Fold bedsheets neatly, keep shoes in shoe racks and keep your rooms tidy.
Other than dry fruits any other outside food items should not be used after 4 days (eg: stapled food)

Rules Regarding Mess
a) Mess menu will be designed by the hostel management committee normally on term basis, in consultation with mess manager and on approval of the Administrator menu shall be displayed in the dining hall of the hostel.
b) The students should strictly observe the prescribed mess timings. Late food/breakfast will be served only in exceptional cases, with prior consent of the mess manager.
c) On request from sick students, separate food will be served in his/her room, if required.
d) Wastage of food in the mess must be avoided and disposal of waste food should be done properly.
e) Mess utensils are not to be taken out of the dining hall and should be handled with care.
f) Mess is operated with limited staff and during peak hours, it is observed that it becomes difficult to cater to the demands of all the students dining at a time. The students should, therefore, wait patiently for their turn to be served. Mess manager will take care to serve the students effectively during peak hours.
g) Only vegetarian food is provided in the mess.
Hostel Code of Conduct
The School/College prides itself on its high standards of discipline and code of conduct. It expects its students to adhere to the code for:
Students should wear full uniform with Black shoes, black belt & Id card(refer last page)
Personal hygiene, attendance and punctuality Behaviour, good manners, language and conduct
Respect for others, for the School/College, its property and image
Adhering to School/College rules and regulations in all areas.
Students should bring college prospectus and ID card daily. They have to produce the same whenever asked for.
Students must strictly observe the following
Dress Code:
They are not allowed to wear any kind of studs or rings on the eye brows, chin, nose etc.
Students are not allowed to wear low waist trousers or skirts or narrow bottom trousers.
No bracelets, fancy pendants or amulets are to be worn by the students.
All students living in hostel are to follow the dress code of the hostel as prescribed by the hostel management. In case of any deficiency or when otherwise considered essential for the student, local purchase will be arranged and the cost will have to be borne by the parents. The expenditure will be accounted for in the imprest amount.
Holidays
If during the course of a session a student needs to go home, he/she must obtain permission from the Principal in the form of a Leave Request and provide a written request sent by the concerned parents to the administration, giving the valid reason. In this regard, the School/College’s leave policy will be observed.
No permissions will be granted to any student living in hostel for spending night out on weekends unless the parent themselves are available in the town and the student living in hostel stays with them.
Holidays schedule will be separately notified every year.
Parents should arrange to take the students home, whenever required either personally or with the approved guardian or person carrying the written authority letter of the parents. Students may not be allowed to go home in the absence of such arrangement.
Self-outing is strictly not allowed in any situation.
All the students must report on the given date after the vacation/leave etc.,
In case of any emergency, written request giving detailed reasons, should be provided by the parents to the Principal, and a written permission must be obtained to condone the delay in arrival.
There is a provision of Smart Card phone in hostel, which remain open as directed by the Principal. Also parents can contact the hostel warden on the School/College phone in case of emergency only.
Overstay on leave/vacation/holidays is not permitted and is liable to fine. This is essential to inculcate the habit of punctuality among the students living in hostel.
Parents are advised not to contact the students during mandatory study hours.
Any application for attending marriages, functions or any other events during the School/College term will not be entertained, unless it pertains to the parents or siblings. Written permission in this regard must be obtained in time. No messages over the telephone will be accepted in this regard.
Fees Deposits and Advances
Fees has to be deposited within the stipulated period through Cheque, UPI Scan code.
Receipt should be obtained for any payment made.
Out station cheque payable at all branches of the bank are accepted.
Parents should not supply medicines to the students, unless, specially advised by the family doctor. These must be handed over to the warden along with instruction / prescription regarding its administration. Such medicines are to be administered entirely at the cost and responsibility of the parents.
No oral exemptions will be accepted. All exemptions must be obtained in writing and submitted and recorded with the concerned official with the final sanction of the Principals concerned and the Administrator.
Any boarder falling sick, will report to the warden, who will record the action taken, in the sick register. It should be signed both by the student and the warden.
After recovery, the students must obtain fitness certificate from the doctor and submit it to the Warden.
When the student returns from home after long illness, he/she must bring a fitness certificate from the doctor, who has treated him/her.
Physical exercise, meditation, sports, games, yoga and other relaxation techniques are compulsory for all boarders, unless exempted by the competent authority. Separate schedule may be fixed for boys and girls, depending upon their class.
Rest time is the time to rest. No student should disturb any other student during the rest time, as well as during the self-study time.
Students living in hostel should follow the daily routine of the hostel and School/College.
No student living in hostel is allowed to keep any cash / ATM Card or mobiles sim card in their possession and no valuable things should be possessed by them while staying in hostel.
No students living in hostel are allowed to invite day scholar colleagues to the hostel premises for their personal interaction or any other reasons.
Any loss of valuable articles will be the personal loss of the student living in hostel as they are not allowed to keep any valuable articles in their possession during their stay in hostel.
Food packets or fruits etc. from home are not encouraged.
Parents are advised to meet their wards on Fourth Saturdays of the month. In case of emergency, the parents or guardian may be allowed to meet with the prior written permission of the Principal / Administrator. Parents visits on other days will not be allowed.
Any student causing damage or loss of School/College /hostel property will be required to pay for the loss (make good the loss). In case more than one student is involved in causing the loss or damage the cost of loss/damage repair etc. will be equally distributed among all the students. If the loss or damage occurs in the hostel room, class room or anywhere else and the students present there and the bystanders do not reveal the names of the persons causing the loss or damage, the cost of property, damage / loss will be equally distributed among all the students involved or present there.
Children will not be allowed to go with the drivers unless proper authority letter with photograph attested by the Principal / Administrator is carried by him.

Leave Rules
No half day leave is permitted.
Leave is granted when applied on the leave – application form prescribed by the School/College. Reason for leave should be clearly specified.
In case of sickness for any period of time, a medical certificate must be attached along with the leave application. After recovery, the fitness certificate should also be produced, particularly in case of long illness.
In case of any dispute(s) regarding the matters connected with anything pertaining to the rules, interpretation of the rules etc., the decision of the Administrator Shakthi Education Trust, shall be final. And the courts at Mangalore shall have the exclusive jurisdiction to entertain any dispute regarding these rules.
Guidelines For Parents Of The Students Living In Hostel
In order to maintain discipline and decorum in the School/College, Parents are requested to follow the under mentioned guidelines:-
Parents should meet their wards only on the specified day, except in an emergency.
Parents / guardian can meet their wards only in the Visitors lounge.
Parents must make sure that their relatives, acquaintances and visitors must hold valid Identification Card / authority letter, without which they are not allowed entry in the School/College or hostel.
In case parents wish their wards to come or go with someone else, that person should carry an authority letter along with his / her photograph or any identity proof signature.
Parents may meet the Principal / other authorities on working days.
Students are permitted to communicate only with persons specified and permitted by Parents, through the School/College / hostel telephone.
Parents must not give cash, expensive gift items and eatables from outside to their wards.
Parents / Guardian must ensure that his/her ward returns to School/College in time after every vacation/leave.
Parents / Guardian must not give his/her ward any personal medicine without the knowledge of the wardens. Parents must share major illness of their ward, with the wardens.
Parents are not supposed to lend their mobiles to their wards.
Original letters with signature of parents, will only be accepted, for leave application.
Parents should attend all Parent – Teacher meet, for the betterment of the child.
If a student is absent during any test / assessment / examination, be it for any reason; no re-test, re-assessment or re-examination is allowed.
Parents/guardians of the students are informed over the telephone in case of serious illness or accident.
School/College does not accept responsibility, legal or otherwise in case of accident or illness. It, however, takes all necessary steps to prevent such happenings.
In all matters pertaining to studies, discipline, behaviour and welfare of the students, the Principal’s decision is final and binding on the parents/guardians.
The School/College/hostel administration, teachers and any other authority authorised by the Principal will assign consequences for violation of hostel and School/College rules and the code of conduct or expected student behaviour.
A full time counsellor and a special educator is available in the campus, to the benefit of the students.
Any issues related to health will be attended by a visiting Doctor.
Parents need to submit medicine prescription with Parent consent letter.
Special Note
Submitting the out pass for outing with parent/guardian/warden is a must and it should be submitted to the Principal.
Out Pass Procedure
Only chief warden is authorized to issue the out pass to the hostel students.
In case of chief warden being absent, principal is allowed to issue it.
Filled out pass should be submitted to the chief warden; he will hand it over to the principal.
No permission should be given by the warden/chief warden between 2pm and 4 pm in the day.
Signature of the principal and chief warden are must on the out pass. In case of absence, wardens and class teachers have the authority to sign the out pass
Handing over the out pass to the security at the gate is a must.
If the student fails to report on time to the school/college after an outing a penalty of Rs1000 per day will be imposed, Without payment the student will not be allowed to attend

Ragging is Strictly Prohibited
As per the Supreme Court judgment in Vishwa Jagriti Mission V. Central Government and Others (2001) 6 SCC 577, AND as per Act of C of AP w.r.t ragging, ragging is a cognizable criminal offence and is strictly prohibited. If any incident of ragging comes to the notice of school/college, the concerned student shall be given liberty to explain and if his explanation is not found satisfactory, the school/college would expel him.
